Buyer & Compliance Coordinator

Role Summary
The Buyer & Compliance Coordinator is responsible for executing purchasing, inventory coordination, and regulatory compliance support functions to ensure operational continuity, accurate inventory flow, and timely fulfillment of customer and regulatory requirements. This role performs administrative and transactional work requiring attention to detail, system accuracy, and consistent application of established procedures. The position supports internal stakeholders by coordinating vendor communication, maintaining compliance documentation, and ensuring data integrity across purchasing and inventory systems.
Essential Functions

- Manage the Purchasing and Compliance inbox daily, prioritizing and responding to vendor inquiries, questionnaires, order confirmations, shipment updates, and customer compliance requests in accordance with established timelines and procedures.
- Serve as a primary administrative liaison between vendors, Sales, warehouse personnel, shipping providers, and internal operations to coordinate purchasing activity and resolve order or delivery discrepancies.
- Execute purchase orders and monitor order status, delivery dates, and tracking information; ensure accurate and timely updates within Sage 100 to support real-time visibility for Sales and Operations.
- Obtain and communicate product specifications, pricing, and lead times from vendors to internal stakeholders, ensuring accuracy and completeness of information.
- Process inventory stock adjustments and maintain accurate purchasing, inventory, and receipt records within Sage 100 to ensure database integrity.
- Receive and reconcile goods and invoices by verifying vendor pricing, freight charges, and quantities against purchase orders and approved quotes prior to authorization.
- Analyze inventory usage trends and provide routine data-based input to Operations leadership regarding minimum and maximum inventory levels.
- Respond to customer and regulatory compliance requests (including RoHS, PFAS, TSCA, and REACH) using standardized templates, portals, and approved documentation.
- Ensure all purchasing and compliance documentation is complete, current, properly filed, and retrievable within company systems.
- Represent the company professionally in vendor communications in accordance with established purchasing guidelines.
- Provide routine data-based inventory input to the Assistant Operations Manager and Director of Operations.

Position Type / Expected Hours of Work
This is a full-time position, typically 40 hours per week. Standard work hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. Occasional evening or weekend work may be required based on operational needs.

Required Education and Experience
- High School Diploma or equivalent
- Minimum of 2 years of professional administrative experience
Preferred Education & Experience
- One (1) or more years of experience in regulatory or product compliance
- Prior experience using Sage 100 or similar ERP systems
- Advanced proficiency in Microsoft Office, particularly Excel and Outlook

Operations Administrator

Reports to: Director of Operations and Finance
Location: Centennial, Colorado (100% In-Person)
Summary/Objective:
The Operations Administrator provides administrative and operational support to the Operations department to ensure efficient daily workflows, project coordination, and communication. This role supports multiple departments, manages operational processes, and ensures organization across projects in a fast-paced environment requiring adaptability and attention to detail.

- Provide administrative support to the Operations team and cross-functional departments.
- Coordinate and manage Operations meeting agendas, document notes, and track follow-up tasks.
- Conduct research projects and support operational initiatives across departments.
- Create, format, organize, and maintain Standard Operating Procedures (SOPs).
- Manage ordering of company logo merchandise and business cards.
- Maintain vendor filing systems, including creating folders, labeling, and daily invoice filing.
- Conduct annual purging and organization of vendor files.
- Manage daily communications within the Returns-Claims inbox.
- Process Return Merchandise Authorizations (RMA), claims, and pricing discrepancies.
- Maintain and update customer discrepancy reports.
- Coordinate purchase orders and support order processing for Inside Technical Sales Specialists.
- Provide backup support for front desk operations as needed.
- Assist Accounting with credit card processing and customer invoing.
- Support end-of-day posting and administrative closeout processes.
- Maintain organized documentation and ensure accuracy across systems and records.

Warehouse Associate
Position Summary:
The Warehouse Associate plays a key role in supporting the daily operations of a dynamic warehouse environment. This hands-on position is responsible for assisting across all warehouse departments, including Shipping, Receiving, Order Pulling & Quality Control. The ideal candidate is a motivated team player with strong attention to detail and a commitment to safety, accuracy, and continuous improvement. This role requires physical stamina, adaptability, and a proactive attitude to ensure operational efficiency and customer satisfaction.
The Warehouse Associate reports to the Warehouse Manager.
Responsibilities:
- Provide daily hands-on support for all sub departments in our warehouse team, including but not limited to: Shipping, Receiving, Pulling & Quality Control
- Package customer orders according to order requests
- Drive compliance with safety, quality, and productivity goals in support of warehouse leadership team objectives
- Communicate with coworkers and supervisors to optimize work completion
- Provide recommendations on process improvement and assists in implementation
- Rotate and train on each aspect of the warehouse (Receiving, Pulling, Shipping)
Minimum Requirements:
- High School diploma or equivalent
- Fast learner with the willingness to improve
- Strong organizational and time management skills
- One year of related experience and/or training; or equivalent combination of education and experience highly preferred
- Basic math and computer skills (understanding of Microsoft Suite and warehouse scanning software a must)

Compensation:
- This position is hourly rate. This position is eligible for quarterly bonuses.
